From emails to a system: field reporting at thousands of sites

I personally built and rolled out a field-reporting system for a federal contract: collecting and compiling reports became roughly 10–17 times faster.

01Task

Set up the collection and processing of field reports for a large number of sites, from thousands of construction workers on location.

02Constraints

Reports and photos came from staff working on site. Data had to be collected centrally within a limited time.

03Solution

Build a field-reporting system that made it possible to collect data and organise the workflow, and to automate reporting on the completion of stages of a federal contract.

04My role

I personally developed the whole system and put it into operation — at head office as well as among workers and managers.

05Result

Reporting became roughly 10–17 times faster to compile and collect, and the financial burden of these procedures fell by roughly RUB 5–7 million per month (as of 2013).

06Estimated economic effect

Less time spent on reporting: for workers (30–45 minutes a day), for construction and installation managers (60–120 minutes a day), and for office staff (14 employees worked on reporting all day). In addition, no penalties for late data under the federal contract. In addition, management gained the ability to monitor the situation in real time.
